Privacy Policy

DendroLink (“DendroLink”, “we”, “us”) is a personal CRM that helps you keep track of the people you meet. This policy explains what we collect, why, and what we do with it. We try to keep it short and honest.

DendroLink is operated by Hans Bhatia, who is the data controller responsible for your information. If you have any questions, you can reach us using the contact details at the bottom of this page.

Information we collect

  • Account information. When you sign in with Google, we receive your name, email address, and profile picture.
  • The content you add. The contacts, notes, tags, meetings, and tasks you create in DendroLink. This is the core of the product and it belongs to you.
  • Voice notes (optional). If you use the voice recording feature, we process the audio you record and its transcript in order to fill in contact and meeting details for you.
  • Uploaded files (optional). Any images or files you choose to attach.
  • Usage data. Basic analytics such as pages visited and errors encountered, so we can fix problems and improve the app.

How we use it

  • To provide the service and store your CRM data.
  • To sign you in and keep your account secure.
  • To turn your voice notes into structured contact and meeting information (only when you use that feature).
  • To understand how the app is used and to fix issues.

We do not sell your personal data, and we do not use your CRM content for advertising.

Our legal bases (UK, EU and similar laws)

If you are in the UK, EU, or another region with similar rules, we rely on the following legal bases to handle your information:

  • To provide the service (contract). Creating your account, storing your CRM data, and processing voice notes when you use that feature.
  • Our legitimate interests. Keeping the service secure and understanding how it is used so we can improve it, in a way that respects your rights.
  • Your consent. For optional analytics cookies where consent is required. You can withdraw it at any time.

Cookies

We use a small number of cookies to sign you in and to understand how the app is used. You can read the details in our Cookie Policy.

Services we use to run DendroLink

We rely on a small number of trusted providers to run DendroLink. They only handle the data needed to do their job:

  • Google — sign-in and authentication.
  • Neon — hosts the database where your CRM data is stored.
  • Vercel — hosts and serves the application.
  • PostHog — product analytics (usage and errors).
  • OpenAI — transcribes and extracts details from your voice notes, only if you use that feature.
  • Amazon Web Services (S3) — stores files you upload, only if you upload any.

Where your data is stored and international transfers

DendroLink and the providers listed above are based in the United States, so if you use the app from the UK, EU, Canada, or elsewhere your data is transferred to and stored on servers in the United States. Where the law requires it, these transfers are protected by appropriate safeguards, such as the standard contractual clauses (or the UK equivalent) that our providers put in place.

Connections to DendroLink and to our providers are encrypted in transit (HTTPS), and access to your data is restricted to your own account.

Data retention and deletion

We keep your data for as long as your account is active. You can ask us to delete your account and associated data at any time by contacting us at the address below, and we will remove it.

Your rights

Depending on where you live, you have some or all of the following rights over your information:

  • Access a copy of the data we hold about you.
  • Correct information that is wrong or out of date.
  • Delete your data.
  • Object to or restrict certain processing.
  • Receive your data in a portable format, or ask us to transfer it.
  • Withdraw consent where we rely on it.

To exercise any of these, just email us using the details below. We will respond within one month.

If you are in the UK and are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk. In Canada you can contact the Office of the Privacy Commissioner, and California residents have rights under the CCPA, including the right to know, delete, and not be discriminated against for exercising them.

Children

DendroLink is not intended for anyone under 16, and we do not knowingly collect data from children.

Changes to this policy

If we make meaningful changes, we will update the date at the top of this page.
